ABC Legal Associates – Scenario Example
The following describes how a legal firm can operate securely with TriStrata. In this example, ABC Legal Associates is a 500-person law firm that uses TriStrata's trusted services to secure its electronic communications with employees, clients and other third parties.
The TriStrata security system that manage ABC Legal's security processing is located off-site and managed by a trusted third party Security Service Provider (SSP) rather than by ABC itself. ABC prefers this arrangement to keep its own computer operations staff and infrastructure to a minimum.
1. ABC uses TriStrata technology to protect its email communications, legal documents, desktops, laptops and the company’s website. TriStrata protects all electronic information moving within, into and from the company.
2. Once an document is written by an ABC staff attorney, it is immediately encrypted. All documents are stored in an encrypted state in their main databases. These documents are forwarded in an encrypted state and can only be decrypted by authorized individuals. The same process applies to graphics and video files that the law firm transmits electronically to its business partners.
3. ABC Legal Associates mentions its use of the TriStrata information protection solution when it pitches to potential clients. This helps clients feel secure that their private information will not be seen by unauthorized parties – both within ABC or elsewhere.
4. As a new client engages the services of ABC Legal, the company enrolls the desired employees of the client on the ABC Legal’s TriStrata system. This case-specific enrollment forms a new Dynamic Membership Group (DMG) within the TriStrata system. This DMG facilitates secure communications and the exchange of documents, graphics and other information between the parties involved, with security roles clearly defined according to the needs of the group. This also helps insure that the customer's confidential information is seen only by those on a need-to-know basis.
5. To prepare for the new client’s trial, ABC Legal engages the services of various third party experts to provide technical research and testimony. Employees of the third party groups are also enrolled by ABC Legal into the same Dynamic Membership Group as the client and the ABC attorneys working on the case.
6. During the pre-trial phase, various members of the Dynamic Membership Group colloborate with one other, providing research reports and graphic presentations to aid in the client’s defense. All documents and graphics are exchanged electronically with other members of the DMG and are kept encrypted while in storage or in transit.
7. The contracts and other related documents that ABC Legal develops or negotiates for the are posted on ABC's web server, in encrypted states, so the authorized parties can download and review them.
8. All security-related events are audited by the TriStrata system. The system’s unique Electronic Signature and Audit protocols prove the legal documents remain secure and are accessed only by the authorized parties.
